This project turned fragmented customer correspondence into a working customer view for a live business software platform. Mailbox context, customer records, follow-up and routine workflow now sit in one structured product, while each customer's workspace remains separate.

Project brief

The product needed to serve thousands of small and medium businesses every working day. Those businesses did not all sell the same thing or organise customer work in the same way. The platform had to combine a dependable shared foundation with enough flexibility for each customer to mould the CRM around its own process.

The core problem was not storing more contacts. It was the time between a customer message arriving and somebody knowing the context, owner and next action. In testing, daily workflows that had taken hours in manual spreadsheets or existing CRM processes moved to minutes once that context was structured in one place.

What changed

The salesperson or account manager can find the correspondence behind a customer record without opening several separate systems. The CRM can show what has gone quiet, prepare a follow-up and make the next action visible. The person remains responsible for the relationship and the commitment. The system removes the repeated searching, copying and remembering around that judgement.

Customers can also configure routine workflows in plain language. A process owner can describe what should happen when a record changes or a customer has not replied, then keep the action inside the right workspace and permission boundary.
