Testing and laboratory organisations rely on skilled people, accurate records and carefully controlled work. As an organisation grows across several locations, it can become difficult to keep employee information, payroll, training, shifts and compliance records up to date.

This project created a connected workforce platform for a specialist testing and laboratory organisation. It brought together information that had previously been spread across HR software, payroll tools, spreadsheets and external services.

The situation

The organisation employed laboratory analysts, technical specialists, field inspectors, office staff and managers. Different teams had developed their own ways of recording employee details, working hours, training and payroll information.

This led to practical problems:

  • The same employee information was stored in several places.
  • HR, payroll and finance teams had to update one another manually.
  • Different locations followed different processes.
  • Shifts, overtime and absences were difficult to manage consistently.
  • Training and technical skills were hard to track.
  • Changes to employment rules took time to apply.
  • Managers did not have a complete view of their teams.

The organisation needed one more connected and flexible way to manage its people.

What we built

One reliable employee record

We created a shared structure for information such as each person's role, location, working pattern, employment status, pay, training, skills, leave and reporting line. This reduced duplication and gave HR and payroll teams a more dependable basis for their work.

Workflows that can change

Employment and payroll rules change over time. The platform was designed so the organisation could update calculations and approval steps without rebuilding everything from the beginning.

This made it easier to manage changes to pay, leave, working arrangements, benefits, reports and internal approvals while keeping the process consistent across locations.

Connections to other systems

The workforce platform was designed to work with the organisation's existing tools, including payroll, finance, time and attendance, staff access, learning and training, employee communications, and quality and compliance records.

Connecting these systems reduced repeated data entry and helped keep important information consistent.

Screens and processes built around people's jobs

Laboratory staff, field teams, managers and HR professionals need different information and have different responsibilities. The platform was designed around the tasks each person needs to complete, not around giving everyone the same complicated screen.

The workflows support tasks such as updating employee details, requesting and approving leave, recording training, changing working patterns, reviewing team information, approving payroll details and creating workforce reports.

Ongoing improvement

The organisation's needs will change as it grows. Instead of treating the work as a one-time software installation, the platform supports a regular cycle of feedback and improvement.

The business and technology teams can review new requirements, user feedback, system performance, compliance changes, new connections and areas where manual work remains.

The best system is not necessarily the one with the most features. It is the one that brings together reliable information, practical everyday tasks and enough flexibility to change with the organisation.
